How to Take Restaurant Orders on WhatsApp
Short answer
Most restaurants can take orders on WhatsApp with the free WhatsApp Business app: put your menu in its catalogue, save quick replies for the questions you answer every day, and give customers a wa.me link that opens a chat with the order already started. The paid WhatsApp Business Platform (the API) is only worth it once several people need to answer the same number, or you want automatic order confirmations — and since 1 October 2026 Meta charges per message there for replies as well.
The free app is enough to start
The WhatsApp Business app costs nothing and covers the whole loop for a single outlet. Its catalogue holds up to 500 items with photos and prices, so the menu lives inside the chat instead of in a PDF nobody can read on a phone. Quick replies (type "/" in a chat) answer delivery areas, timings and payment options in one tap, and an away message covers the hours the kitchen is closed. Labels let you mark each chat as new order, paid, or delivered, which is the whole order board most kitchens need.
The link that does the selling
A wa.me link opens a chat with your number and, if you add ?text= to it, a message already typed: "Hi, I would like to order". Put that link on your website, your Instagram bio, your Google Business Profile and a QR code inside every delivery bag. The customer taps once and you have their number, which is the one thing an aggregator order never gives you. A regular you can message directly is worth more than any single order.
When the API is worth paying for
The WhatsApp Business Platform, which you reach through a provider, is a different product. It earns its cost when three things happen: more than one or two people need to answer the same number at once, you want an automatic confirmation with the bill the moment an order is placed, or orders arrive faster than a person can type. Until then it adds a monthly provider fee and per-message charges to a job the free app already does.
What changed on 1 October 2026
Meta began charging for service messages on the Platform from 1 October 2026; they had been free since November 2024. Service messages are the replies you send inside 24 hours of a customer writing to you, which is most of what an ordering chat is. Providers serving Indian businesses report a monthly free allowance per number and a small charge per reply after it, so check your provider's rate card before you move ordering onto the API. None of this applies to the free app on your phone, which has no per-message pricing.
